instruction;

written and oral placement tests;

course materials;

tests;

certificate;

shared accommodation;

daily transport between the accommodation provided by AIMI and the class location;

airport pickup upon arrival in Madinah;

guided ʿUmrah;

activities and excursions;

tourist visa.

The exact content of the program depends on the package the participant has booked.

Services not explicitly listed as included are not part of the program.

Flights, meals, personal expenses, and transport not explicitly part of the package are not included.

Registration

Registration takes place through the registration process designated by AIMI.

The participant is responsible for providing complete and correct personal data and other information necessary for registration.

Submitting a registration form does not automatically mean that participation is definitively confirmed.

AIMI may review a registration before the participant is definitively admitted.

A place is only definitively reserved once AIMI has confirmed the registration and the required deposit has been received.

The participant is advised not to make non-changeable or non-refundable travel bookings before AIMI has officially confirmed participation.

Placement and Level

AIMI may administer a written and oral placement test prior to the program.

Based on the results, AIMI determines which level and group are most suitable for the student.

A level indicated by the student themselves is only indicative and does not entitle the student to placement in a specific group.

AIMI strives to place students with students of a similar level wherever possible.

If it becomes apparent during the course that another group better matches the student's level, AIMI may transfer the student to a different group.

Education

Classes take place according to the schedule set by AIMI.

AIMI determines which teachers are assigned to the various groups.

Participation in the program does not entitle the student to instruction by a specific teacher.

AIMI may replace a teacher due to illness, availability, organizational circumstances, or other reasons.

A change of teacher does not entitle the participant to a refund.

AIMI may make reasonable changes to class times, class locations, group composition, or scheduling when necessary for the proper execution of the program.

Academic Progress

The program is designed to have students engage intensively with the Arabic language over a relatively short period.

AIMI cannot guarantee that a student will reach a certain level or fully master the Arabic language within one or two months.

Progress also depends on:

the starting level;

attendance;

active participation;

homework;

self-study;

personal aptitude and learning pace.

Attendance

Students are expected to attend classes punctually and consistently.

If a student is unable to attend due to illness or another reason, this must be reported to AIMI as soon as possible.

Missing classes due to personal circumstances does not entitle the student to:

a refund;

replacement private lessons;

an extension of the program.

Due to the relatively short duration of the program, requests for leave during the course are in principle not permitted, except when AIMI decides otherwise due to special circumstances.

Accommodation

If accommodation is part of the chosen package, the following conditions apply:

AIMI in principle offers shared accommodation.

Accommodation for male and female students is separated.

Students may share a bedroom, living room, kitchen and/or bathroom with other students.

The exact number of people per room or apartment may vary depending on availability and the composition of the group.

A private apartment can only be offered if available and for an additional fee.

The accommodation offered is intended as basic student accommodation. The participant should not expect hotel standards.

Basic facilities such as air conditioning and simple kitchen amenities are present. Specific amenities such as a washing machine or stable Wi-Fi are not guaranteed unless explicitly confirmed in writing.

Photos of the accommodation are indicative. The accommodation actually assigned may differ.

If necessary, AIMI may move students to another comparable accommodation during the program.

A change of apartment or roommates does not in itself entitle the student to a refund.

Behavior in the accommodation

Students must treat the accommodation, furnishings, fellow residents, and neighbors with care and respect.

The accommodation must be kept clean and tidy.

Intentional damage or damage resulting from gross negligence may be recovered from the responsible student.

Causing a nuisance to fellow residents and neighbors is not permitted.

Allowing persons who are not placed in the accommodation to stay overnight without permission is not permitted.

Students must respect reasonable house rules and instructions from AIMI or the accommodation manager.

Transport to the class location

If daily transport to school is part of the chosen package, AIMI arranges transport between the assigned accommodation and the class location.

Students must be present at the designated pick-up location at the agreed time.

The transport cannot wait indefinitely for students who are late.

When a student misses the organized transport, the student is responsible for alternative transport and the associated costs.

Departure times may change due to traffic, weather conditions, organizational circumstances, or other practical reasons.

Airport pickup

If airport pickup is part of the chosen package, this applies to arrival at Madinah airport based on flight details provided and confirmed in advance.

The participant is responsible for providing flight details and any changes in a timely and accurate manner.

In the event of changes, delays, or cancellations of flights, the participant must inform AIMI as soon as possible.

If flight details are provided late or incorrectly, AIMI cannot guarantee that airport pickup can be arranged.

Airport drop-off upon departure is not included, unless explicitly agreed otherwise.

Visa and travel documents

The participant is solely responsible for having a valid passport and for meeting all applicable Saudi Arabian entry and immigration requirements.

If a tourist visa is part of the booked package, AIMI may facilitate the application on behalf of or for the participant.

The final decision on issuance, validity, and admission lies with the competent Saudi Arabian authorities and not with AIMI.

AIMI therefore cannot guarantee that a visa will be issued or that a participant will be admitted to Saudi Arabia.

The participant is responsible for providing all required documents and information in a timely and accurate manner.

Any additional costs resulting from incorrect, incomplete, or late information provided by the participant may be charged to the participant.

Flights

Flights to and from Saudi Arabia are not included, unless explicitly stated otherwise.

The participant is solely responsible for booking and paying for the flight.

AIMI advises participants to wait to make final, non-refundable travel bookings until participation has been officially confirmed.

AIMI is not responsible for flight changes, delays, cancellations, missed connections, or other issues caused by airlines or third parties.

Umrah

If a guided ʿUmrah is part of the package:

the ʿUmrah is in principle organized during the period of the program indicated by AIMI;

the program in Makkah may span several days;

the group is accompanied during the ʿUmrah;

the group receives an explanation in advance about the performance of the ʿUmrah;

the participant must bring a suitable iḥrām and other personal items themselves;

meals during the ʿUmrah are not included, unless stated otherwise;

hotel accommodation in Makkah is in principle shared with other participants;

a private room can only be offered upon request, subject to availability and an additional fee.

The exact schedule may be adjusted due to availability, crowds, transport, local regulations, or other organizational circumstances.

Mahram and participation of women

Having or traveling with a mahram is not a requirement set by AIMI for participation in the program.

The way in which a participant travels to Madinah, and the personal or religious considerations involved, are the participant's own responsibility and personal choice.

Once in Madinah, AIMI does not require having a mahram as a condition for participating in the program.

Each participant remains responsible for complying with the legal travel, visa, and admission requirements applicable to them.

Activities and Excursions

When activities or excursions are part of the package, AIMI determines the planning for these.

Activities may be changed or replaced due to weather conditions, availability, local regulations, safety, group size, or other organizational reasons.

Participation in recreational activities is in principle voluntary, unless an activity is explicitly designated as part of the educational program.

Payment and Deposit

The price of the program is communicated to the participant in advance.

A deposit of 50% of the total course amount is required to reserve a place.

The registration is only considered final after AIMI has confirmed the registration and received this deposit.

The deposit is non-refundable

If the deposit is not paid on time, AIMI reserves the right to cancel the registration without further notice.

The remaining course amount must be paid in full before the course starts.

If the remaining amount is not paid on time, participation in the course will not be possible and the deposit already paid will not be refunded.

Bank charges, transaction fees, and currency conversion costs are the responsibility of the participant.

Cancellation by the Participant and Refund

The student may cancel their participation in writing at any time.

The date on which AIMI receives the written cancellation determines the moment of cancellation.

In the event of cancellation, the following conditions apply:

If only the deposit has been paid, it will not be refunded.

If the full course amount has been paid and the student at least one month before the start of the course cancels, the amount paid for the course will be refunded, with the exception of the non-refundable 50% deposit.

If the student less than one month before the start of the course cancels, a maximum of 25% of the total course amount will be refunded.

Once the student has started the course, no refund is possible any longer.

Failure to show up, arriving late, leaving early, or voluntarily stopping the program does not entitle the participant to a refund.

In exceptional circumstances, AIMI may, at its own discretion, decide to deviate from the above cancellation and refund conditions. Such an exception does not create a right to the same arrangement in other or future cases.

By paying the deposit or the full course amount, the student declares to have read and agreed to these payment and cancellation conditions.

Cancellation or Change by AIMI

AIMI may decide to cancel a program before it starts if there are insufficient registrations or if the program cannot reasonably be carried out due to special circumstances.

When a course only proceeds with a minimum number of participants, this will be communicated to participants in advance.

If AIMI itself cancels the entire program before it starts,, the student is entitled to a refund of the amounts paid to AIMI for the cancelled program, including the deposit..

The provision that the deposit is non-refundable therefore does not apply when AIMI itself cancels the entire program.

In consultation with the student, AIMI may offer an alternative instead of a refund, such as participation in a different course period. The student is not obliged to accept such an alternative.

AIMI is not responsible for costs that the participant has independently incurred with third parties, such as flight tickets, travel insurance, additional transport, or other personal travel bookings, insofar as this is legally permitted.

When reasonably necessary, AIMI may make changes to, among other things:

class schedules;

teachers;

group divisions;

class locations;

accommodation;

transport;

activities and excursions;

the planning of the ʿUmrah;

other organizational aspects of the program.

Reasonable changes to the implementation of the program do not automatically entitle the participant to cancellation or a refund, as long as AIMI continues to offer the essential components of the booked program.

If AIMI makes a substantial change as a result of which an essential component of the booked program can no longer be offered, AIMI will, where possible, offer a suitable alternative or assess the situation individually.

Health, Safety and Insurance

The participant is responsible for assessing whether they are physically and personally able to take part in the program and the trip.

The participant is responsible for arranging appropriate travel and/or health insurance for the entire duration of the stay.

Medical costs, medication and other personal healthcare expenses are not included in the program price.

In an emergency, AIMI can assist where reasonably possible in obtaining appropriate help, but AIMI is not a medical service provider.

Participants must follow reasonable safety instructions from AIMI, accommodation managers, transport providers and local authorities.

Personal Property

Students are themselves responsible for their money, passport, phone, laptop, luggage and other personal belongings.

AIMI is not liable for loss, theft or damage to personal belongings, except to the extent that liability cannot be excluded under applicable law.

Students are advised to keep valuable belongings safe.

Behavior and Respect

All students are expected to behave respectfully towards:

teachers;

AIMI staff;

fellow students;

accommodation managers;

transport providers;

local partners;

residents and visitors of Madinah and Makkah.

Offensive, threatening, intimidating, aggressive or seriously disruptive behavior will not be accepted.

Students must comply with the laws and regulations of Saudi Arabia.

Serious or repeated violation of the rules can lead to removal from a class, accommodation, activity or, in serious cases, the entire program.

In the event of removal due to serious misconduct, there is no automatic right to a refund.

Minor Participants

Participation of minors is only possible if AIMI has given prior consent.

Where required, parents or legal guardians must give consent for participation.

Parents/guardians remain responsible for supervising the minor outside the organized classes, activities and other explicitly supervised parts of the program.

AIMI does not provide 24-hour supervision of minor students, unless explicitly agreed otherwise in writing.

The parent or legal guardian is responsible for complying with the applicable Saudi Arabian travel and visa requirements for minors.

Course Materials and Intellectual Property

Course materials made available by AIMI or its education providers are intended solely for personal educational use.

It is not permitted to copy, publish, sell or commercially distribute the material without permission.

Students may not record classes, teachers or fellow students without permission.

Photos and Videos

Photos or videos may be taken during the program.

When AIMI wants to use recognizable images of participants for marketing or promotional purposes, AIMI will ask for consent where necessary.

A student can inform AIMI when they do not wish to appear recognizably in promotional imagery.

Certificate

AIMI can issue a certificate upon completion of the program.

Obtaining a certificate may be subject to conditions regarding attendance, participation, tests and full payment.

The certificate confirms participation and/or completion of the relevant language program and does not constitute a formal academic diploma or government-recognized qualification, unless explicitly stated otherwise.

Force Majeure

AIMI is not responsible for the non-performance, late performance or altered performance of parts of the program when this is the result of circumstances reasonably beyond AIMI's control.

This may include, among other things:

natural disasters;

extreme weather conditions;

epidemics or pandemics;

war or serious political unrest;

government measures;

changes in Saudi Arabian regulations;

closure or restricted access to locations;

disruption of air traffic;

serious transportation problems;

other exceptional circumstances.

AIMI will try to find a reasonable and appropriate solution in such situations.

Liability of Third Parties

For various parts of the program, AIMI may make use of external parties, including:

educational institutions or teaching locations;

accommodation providers;

transport providers;

hotels;

visa service providers;

activity providers.

AIMI will organize these services with reasonable care, but cannot be held unlimitedly liable for the independent actions or omissions of external parties, to the extent permitted by applicable law.

Complaints

If a student experiences a problem during the program, this should be reported to AIMI as soon as possible so that AIMI has the opportunity to assess the problem during the stay and resolve it where possible.

Complaints about education can be reported to the designated education coordinator.

Complaints about accommodation, transport, or other organizational matters should be reported to the AIMI team as soon as possible.

If a problem is only reported after the program has ended, while AIMI could reasonably have had the opportunity to resolve the problem during the program, this may be taken into account when assessing the complaint.

Personal Data

AIMI processes personal data that is necessary for, among other things:

registration;

placement;

education;

accommodation;

transport;

visa support;

payments;

communication;

organizing activities and ʿUmrah.

Changes to These Terms

AIMI may amend these Terms and Conditions from time to time.

For a booking already made, the version agreed to by the participant at the time of booking will, in principle, apply.

If a change is necessary during the program due to legislation, safety, local regulations, or other compelling circumstances, AIMI may implement the necessary adjustments.

Algemene
