  • gender;<\/li>
  • nationality;<\/li>
  • country of residence;<\/li>
  • information about Arabic language level;<\/li>
  • results of written and oral placement tests;<\/li>
  • information about attendance and academic progress;<\/li>
  • payment and transaction details;<\/li>
  • communication with AIMI;<\/li>
  • flight details;<\/li>
  • arrival and departure details;<\/li>
  • accommodation details;<\/li>
  • details necessary for transportation and airport pickup;<\/li>
  • details necessary for organizing the \u2018Umrah and activities;<\/li>
  • passport and visa details when necessary for the booked package;<\/li>
  • details of a parent or legal representative when the participant is a minor;<\/li>
  • other information necessary for the organization and execution of the program.<\/li><\/ul>

    AIMI only processes personal data that is reasonably necessary for the execution and administration of the program.<\/p>

    What do we use personal data for?<\/h2>

    Personal data may be used for, among other things:<\/p>

    • processing and reviewing enrollments;<\/li>
    • communication with participants;<\/li>
    • administering payments;<\/li>
    • conducting written and oral placement tests;<\/li>
    • determining the appropriate language level;<\/li>

    • organizing and providing the education;<\/li>

      Passport and visa details<\/h2>

      When a tourist visa is part of the booked package, it may be necessary for AIMI to receive certain passport and personal details of the participant.<\/p>

      This may include, among other things:<\/p>

      • full name as stated in the passport;<\/li>
      • date of birth;<\/li>
      • nationality;<\/li>
      • passport number;<\/li>
      • date of issue;<\/li>
      • date of expiry;<\/li>
      • a copy or image of the passport;<\/li>
      • other information necessary for the visa application.<\/li><\/ul>

        This data is used solely for facilitating the visa application and related administrative actions, unless AIMI is legally required to retain or process the data for another purpose.<\/p>

        To carry out a visa application, necessary personal data may be shared with competent authorities and\/or service providers involved in the application.<\/p>

        Flight details and airport pickup<\/h2>

        When airport pickup is part of the package, AIMI may process flight details, including:<\/p>

        • flight number;<\/li>
        • airport of departure;<\/li>
        • date of arrival;<\/li>
        • time of arrival;<\/li>
        • any changes or delays.<\/li><\/ul>

          This information is used to organize the arrival and transportation of the participant in Madinah.<\/p>

          Where necessary, relevant data may be shared with the driver or transport provider carrying out the airport pickup.<\/p>

          Accommodation<\/h2>

          When accommodation is part of the package, AIMI uses personal data to place participants in the appropriate accommodation.<\/p>

          • accommodation managers;<\/li>
          • rental providers;<\/li>
          • local staff;<\/li>
          • other service providers involved in the stay.<\/li><\/ul>

                      • brochures and flyers;<\/li>
                      • information about future programs;<\/li>
                      • other promotional or informational purposes of AIMI.<\/li><\/ul>

                        If AIMI wants to use recognizable images of a participant for marketing or promotional purposes, AIMI will ask for permission where necessary.<\/p>

                        A participant can indicate to AIMI when they do not want to appear recognizably in promotional image material.<\/p>

                        Minor Participants<\/h2>

                        When a minor participates in the program, AIMI may process the personal data of the minor and their parent or legal representative.<\/p>

                        Where necessary, AIMI may ask the parent or legal representative for consent for certain processing.<\/p>

                        AIMI strives to handle the personal data of minor participants with extra care.<\/p>

                            the participant must inform AIMI of this as soon as possible.<\/p>

                            AIMI is not responsible for problems arising because a participant has provided incorrect, incomplete, or outdated information.<\/p>

                            Changes to this Privacy Policy<\/h2>

                            AIMI may amend this Privacy Policy from time to time when:<\/p>

                            • our way of working changes;<\/li>
