This Privacy Policy describes how Arabic in Madinah Institute (AIMI) collects, uses and protects personal data in connection with the AIMI Online Arabic Program.

By using our website, registration forms, digital learning environment and online lessons, personal data may be processed by us.

What personal data do we process?

Depending on the services you use, we may process, among other things, the following data:

  • first and last name;
  • email address;
  • phone number;
  • country of residence;
  • age or date of birth, if necessary;
  • gender, if relevant for group placement;
  • information about your current level of Arabic;
  • results of written and oral placement tests;
  • homework, tests and assignments;
  • feedback and comments from teachers;
  • comments or questions you submit yourself via the learning environment;

  • communication with AIMI;

What do we use personal data for?

  • improving our educational services and learning environment;
  • securing our systems;

Digital learning environment

Students can access a personal digital learning environment.

Within this environment, personal data may be processed relating to, among other things:

  • the student profile;
  • course enrollment;
  • lesson schedule;
  • homework;
  • tests;
  • results;
  • feedback;
  • comments;
  • attendance;
  • course materials;
  • recorded lessons.

A student account is personal. Students are themselves responsible for keeping their login details confidential.

Live lessons and Google Meet

Live lessons may take place via Google Meet or another online service designated by AIMI, which may be integrated into our learning environment.

When using such services, certain personal data may be technically processed by the relevant service provider.

In addition, the use of third-party services may be subject to the privacy terms of the relevant provider.

Recordings of lessons

AIMI may record online lessons for educational purposes.

A recording may include, among other things:

  • the student's voice;
  • the displayed name;
  • chat messages;
  • the camera image, if the camera is used;
  • contributions and questions during the lesson.

Recorded lessons may be made available to students who have access to the relevant level or course.

Recordings are intended solely for educational use within the AIMI program and may not be copied, published or shared with third parties by students without permission.

Payment Details

Payments may be processed via external banks or payment providers.

AIMI may retain data necessary for financial administration, such as:

  • name of the payer;
  • amount paid;
  • date of payment;
  • payment status;
  • payment or transaction reference.

When an external payment provider is used, the privacy terms of that provider may also apply.

Sharing of Personal Data

AIMI does not sell students' personal data to third parties.

Personal data may, when necessary, be shared with parties involved in carrying out our services, including:

  • teachers;
  • education coordinators;
  • authorized staff of AIMI and SR Travel Services LLC;
  • providers of the digital learning environment;

We strive to share only data that is necessary for the relevant purpose.

Retention Periods

We do not retain personal data longer than reasonably necessary for the purpose for which it was collected, unless a longer retention period is legally required or justified.

The retention period may vary depending on the type of data.

For example, administrative and financial data may be retained longer due to legal accounting obligations, while access to course materials and lesson recordings may end when the relevant level or program has finished.
