Cancellation & Refund Policy – AIMI Online Arabic Program

This Cancellation & Refund Policy applies to the online Arabic program of Arabic in Madinah Institute (AIMI). By enrolling and making a payment, the student declares to have taken note of this policy.

Cancellation by the student

A cancellation request must be submitted in writing to AIMI.

The date on which AIMI receives the written cancellation request determines any refund.

Cancellation before the program starts

If a student cancels before the official start date of the program, a partial refund may be possible depending on the timing of the cancellation and the services already provided.

Any administration fees, payment costs, and costs for services already carried out may be deducted from the amount to be refunded.

If different cancellation terms are stated for a specific program at the time of purchase, those specific terms apply.

Cancellation after the program has started

Once the program has officially started, no refund is generally granted for the remaining program.

This also applies when the student:

  • decides to voluntarily stop;
  • is no longer able to attend the lessons;
  • is unavailable due to work or studies;
  • goes on holiday;
  • moves or travels to a different time zone or country;
  • makes insufficient use of the learning environment;
  • is not satisfied with their own study progress.

Missed lessons

If a student misses a lesson due to personal circumstances, illness, work, holiday, technical problems on the student's side, or another personal reason, there is no right to a refund.

A missed group lesson is not automatically replaced by an individual lesson.

If a recording of the relevant lesson is available, the student can view it during the period in which they have access to the recording.

Technical problems

The student is responsible for having a suitable internet connection and equipment in order to attend the online lessons.

Technical problems on the student's side do not give the right to a refund.

If a lesson cannot take place, or largely cannot take place, due to a technical malfunction on AIMI's side, AIMI will, where possible:

  • reschedule the lesson;
  • offer a replacement lesson; or
  • offer another suitable solution.

Change of teacher

AIMI determines which teachers are assigned to groups and may replace a teacher if necessary.

A change of teacher does not give the right to a refund, as long as AIMI continues to offer the agreed educational program.

Changes in schedule or planning

AIMI may make changes to the class schedule or planning when reasonably necessary.

A limited or reasonable change to the lesson time, teacher, or planning does not automatically give the right to cancellation or a refund.

If AIMI makes a material change that means the student can no longer reasonably follow the agreed program, AIMI will assess the situation individually and, where appropriate, offer an alternative solution.

Cancellation by AIMI

If AIMI cancels the entire program and cannot offer a reasonable alternative or replacement program, the student is entitled to a refund of the amount relating to the services not provided.

If only one or more lessons are cancelled by AIMI, AIMI will first attempt to reschedule these lessons or replace them in another suitable way.

Removal due to misconduct

If a student is removed from the program due to serious or repeated misconduct, misuse of the learning environment, sharing accounts or course materials, or a serious violation of the General Terms and Conditions, there is no automatic right to a refund.

Payment and transaction costs

When a refund is granted, non-refundable payment costs, bank fees, or transaction costs may, where legally permitted, be deducted from the amount to be refunded.

Any currency differences resulting from exchange rates are, in principle, outside AIMI's responsibility.

Processing of refunds

Once AIMI confirms that a student is entitled to a refund, the amount will be processed as soon as possible.

The actual processing time may depend on the bank, payment provider, and payment method used.

Where possible, the refund will be made using the same payment method used for the original payment.

Exceptional circumstances

In exceptional and demonstrable circumstances, AIMI may, at its own discretion, decide to offer an alternative solution, for example:

  • transfer to a later course;
  • temporary suspension of participation;
  • course credit;
  • another suitable solution.

Such accommodation is voluntary and does not create a right to the same arrangement for other or future cases.
